How to finish meetings on time?

On busy days, it can be annoying to be part of a meeting that goes over its allotted timeframe. Finishing a meeting late affects all of the following meetings of that day. When you finish your meeting late, you start late at the next meeting. When this continues to happen, you build up a tsunami of delay. These are the days when you sacrifice your lunch break to get things done, and nobody wants to do that!

The good news is there are ways and methods to finish your meetings on time, including using a timeboxing planner and timer. By using a timeboxing feature, it helps improve meeting culture and awareness for time and overall productivity of meetings in your organization. You’ll find meetings will be more productive, and everyone can get out of their meetings on-time to accomplish what they need to do.

One solution: strict time boxing!

Instead of running late in every meeting, set strict rules and time boxes for each agenda topic before the meeting starts. Using our handy timeboxing app, you can easily set time boxes, monitor the meeting timer for certain topics discussed during the meeting, and finish your meeting on time – yes, it’s really that simple!

time boxing with yoyomeeting

Usually, agenda topics have rough time constraints. Unfortunately, often not everyone will acknowledge this. What yoyomeeting can do is support the meeting host to keep on schedule. Here’s how our time boxing planner works:

  1. Send time boxes (time slots planned for the agenda item) for each agenda item along with your agenda. This communicates to your team that the time for each agenda item is important to you.
  2. During your meeting, you can see a clock in your agenda panel (where you manage your meeting). With the timeboxing timer visible to everyone, members can see when an agenda item is running over the allotted time. This combination of a planned time box and live monitoring provides meeting hosts with justification to interrupt discussions (when you consider this helpful) to re-focus the team.  While nobody likes to be interrupted, (especially higher-level business professionals), this will help the meeting move along with the end goal of finishing the meeting on time, with the next steps clearly documented, and everyone being on the same page.
  3. At the end of your meeting, yoyomeeting asks for a meeting rating. This shows you the planned vs. the true timing performance. This reinforces the need to be on-time during the meeting – and take it seriously! You and your team will get better with every meeting.

Time boxing is just one part of meeting greatness

Of course, time boxing is not the single Holy Grail to finish all meetings on time. But in combination with other features of yoyomeeting, like agenda setting, goal setting, task assignment, side issues, and more, yoyomeeting can help you to finish your meetings on time – every time!

Easy to use, easy to install: Just download yoyomeeting from Microsoft AppSource.

Other Features

Here are a few other features of our meeting management software:

For the calculation of the benefit, we assumed everyone having a yoyomeeting license has 20 one hour meetings per month with 2 additional attendees. That sums up to 60 meeting hours per month. Each hour is paid in average with 50 €, so the company invests in meetings 3.000 € for wages alone. With yoyomeeting we estimated an overall longterm meeting productivity increase of 20%, which sums up to at least 600 €/month. And in the calculation above, we did not even consider rebates on corporate license packs!
